WHO ARE WE? Sircle Collection BV is a company registered in the Netherlands under registration number 34369785 with its registered address at Nieuwezijds Voorburgwal 271, 1012 RL Amsterdam (“Sircle Collection” or in the personal pronoun “we” or “our”).

THE DATA CONTROLLER Sircle Collection determines the purposes and means of the processing of personal data for the employee candidates of the Sircle Group.
As such, Sircle Collection is the ‘Data Controller’ within the meaning of the European Union General Data Protection Regulation (“GDPR”) and the United Kingdom Data Protection Act 2018 for the purposes of this Privacy Notice and for the Sircle Group, including the Hotels, Restaurants, Members’ Clubs, and Stores.
Additionally, in certain circumstances, Sircle Collection may act as a Joint Data Controller with the Operating Companies of our Hotels and Restaurants, in which case both parties jointly determine the purposes and means of processing personal data.
For example, when operating Max Brown Museum Square, the other Joint Data Controller is Acro Hotel B.V., a limited liability company incorporated under the laws of The Netherlands, duly registered at the Dutch Chamber of Commerce (company number 33075661) and with a registered address at Jan Luijkenstraat 44, 1071CR Amsterdam, The Netherlands.
Similarly, when operating Max Brown Canal District, the other Joint Data Controller is Max Brown Hotel B.V., a limited liability company incorporated under the laws of The Netherlands, duly registered at the Dutch Chamber of Commerce (company number 34260817) and with a registered address at Herengracht 13, 1015BA Amsterdam, The Netherlands.

We process candidate information for employment or engagement opportunities at Sircle Group. The information will be gathered and utilized for the following objectives:
- Evaluate candidates’ skills, qualifications, and suitability for the positions.
- Conduct necessary background and reference checks.
- Maintain communication with candidates regarding the recruitment procedure.
- Retain records associated with our hiring procedures.
- Adhere to legal and regulatory obligations.
WHAT PERSONAL DATA DO WE PROCESS? Generally, the data we collect from all job applicants includes any details provided in resumes, CVs, and/or application forms, such as name, contact information, employment history, qualifications, nationality, and, if they willingly consent, a photograph.
We use the personal data of candidates to evaluate their skills, experience, and suitability for roles available at Sircle Group. This information is shared with relevant hiring managers and individuals involved in the recruitment process to determine whether to invite the candidates for interviews.
Sircle Collection will process additional information if a candidate is invited to the interview stage or beyond. This may include interview notes, assessment results, feedback, and details of any job offers made. This information is used to determine whether to extend a job offer and be used for contract creation and finalization.
When Sircle Collection decides to make an offer, further information is processed as part of pre-employment background screening to confirm that the candidate meets internal and legal requirements for the position and to verify the accuracy of the information provided by the candidate. This may include verifying education and employment history, as well as checking references. Additionally, we need to confirm and establish the candidate's eligibility to work in the relevant country.
For successful candidates, we process personal data necessary for their onboarding, which may include enrolling them in company benefits and providing access to Sircle Collection systems. This may involve collecting additional information such as personal identification numbers (tax, citizenship, citizen service number, or other relevant individual numbers based on the candidate's country and role), details of related individuals (spouse/partner, children, etc.), signature, bank account information, and emergency contacts.
Suppose a candidate does not provide the required information, which is essential for Sircle Collection to assess their application. In that case, we may be unable to proceed with the application.
HOW AND WHERE DO WE COLLECT YOUR PERSONAL DATA? Sircle Collection collects personal data from candidates in various ways. This data can be obtained through:
- Directly from the candidate - such as the information provided by candidates during their application process through Sircle Collection career websites or when they submit their resumes or CVs in person to our Hotels, Restaurants, Members’ Clubs, and Stores.
- Through publicly accessible online sources - for example, when a candidate maintains a professional online profile, such as LinkedIn.
- Through reference checks - such as those obtained from a candidate's previous employee or employer, or a referee specified by the candidate.
HOW AND WHEN DO WE SHARE YOUR PERSONAL DATA? We share your personal data with the following parties:
Sircle Group
We disclose personal data to entities within the Sircle Group members and our Hotels, Restaurants, Members’ Clubs, and Stores for the purposes set out in this Privacy Notice, such as processing your application and maintaining communications throughout the recruitment process.
Service providers
We disclose personal data to third-party service providers to deliver services in relation to our business and to improve our recruitment process. For example, companies that provide website hosting, human resource information systems, and applicant tracking systems.
External establishments
We may transfer your application to our affiliate partner hotels, restaurants, members' clubs, and stores outside Sircle Group, but this action is exclusively executed with your explicit consent.
Operating Companies
Operating Companies are the entities responsible for the operations of our Hotels and Restaurants. As the management company for the Sircle Group, Sircle Collection works closely with these Operating Companies to ensure the smooth and efficient delivery of our services. We may disclose your personal data to our Operating Companies in order to facilitate the recruitment process described in this Privacy Notice.
LEGAL OBLIGATIONS AND REPORTING We may need to disclose your personal data to legal and regulatory authorities to comply with a legal obligation and/or judicial or regulatory proceedings, a court order, or other legal process or reporting requirements from public health organisations, local councils, and governmental authorities.
AUTOMATED PROCESSING Our recruitment processes do not rely solely on automated processing. Human assessment and judgment are integral to our decision-making, ensuring fairness and transparency for all candidates.

HOW LONG DO WE STORE YOUR PERSONAL DATA? When you submit an application for a role at Sircle Collection, we will retain your personal data for a duration that is strictly necessary after we have conveyed our decision regarding your application. This retention serves the purpose of being able to demonstrate, should a legal claim arise, that our candidate selection process has been conducted in a fair and non-discriminatory manner, free from any prohibited biases. Following this specified retention period, we will securely dispose of your personal data.
However, if you grant us consent to retain your personal information, even in the case of an unsuccessful application, we will maintain your data for potential recruitment opportunities within Sircle Group.
